Operations for free tour and walking tour companies

Your booking system forgets everything that happens after the booking.

Audutor is your tour company’s operations layer: every channel’s bookings in one list, your reminders ready to send in one tap, and every tour settled to the penny. Start with two modules and grow when you want to.

  • No lock-in
  • 0% commission
  • Data hosted in the EU
  • No cookies, no trackers

It was built while running tours, not in a boardroom. Setting it up takes an afternoon: forward your booking emails and the inbox fills itself in.

Hi! I’m GuIA. I look after your customers while you’re out guiding.

Everything between the booking and the tip

From the inbox to a booking you can trust

Check reception, compare the original with the extracted details and review uncertain messages before adding them. Email confirmations have an outbox with retries and items needing review.

You can enable an email alert if your connected mailbox keeps failing or stops updating for 15 minutes. It does not detect a complete Audutor outage.

Support you can follow

Each support ticket keeps its conversation, owner and response target. You can opt into email alerts and reply from your panel, with retries that avoid duplicates if the connection fails. The Audutor team can opt into internal alerts for missed targets.

A person can pick up the conversation

Travellers can request human help in the GuIA web chat. Your team takes ownership, sees how long they have waited and replies from the panel. A manager can opt into email alerts for new enquiries waiting five minutes, grouped into at most one new batch every fifteen minutes.

Review before changing the day

Check assignments and the attendance summary before closing. You can also allow travellers to move free bookings to another available departure of the same tour.

01 · Notify

Reminders that stop no-shows

Prepare the reminder for WhatsApp or SMS on your phone. The traveller confirms through the booking link and the guide sees it on the manifest.

02 · Find

Finding the stragglers

The guide shares their location with one tap and whoever got lost gets the map — without anyone handing out the guide's number.

03 · Group

Groups, with your policy

Platforms split groups across several bookings: the system puts back together the ones sharing a surname that came in minutes apart, and flags them to the guide with your deposit alongside. And if they ask in the chat, GuIA checks whether they fit that day before telling them anything.

04 · Settle

Settlements to the penny

Tips, each channel's commission and the guide-company split, tour by tour and ready for your accountant.

05 · Answer

An assistant that doesn't make things up

GuIA answers your travellers with your facts and no others. What it doesn't know, it passes to you.

06 · Go

Your guides, no accounts to manage

Each guide has their own link: today's tour, one-tap check-in and walk-ins. No users to administer.

07 · Decide

Run the day by exception

A daily brief with what needs you and nothing else. If there's nothing, it says so.

08 · Collect

Every channel, in one inbox

Bookings from your platforms and your own site arrive and keep themselves up to date.

And a booking we haven't tested never goes in without you looking at it.

A normal day with Audutor

No spreadsheet, no copying bookings across, no “does anyone know where the guide is?”.

8:41 AM
4 bookings land from two different platforms. On their own. Nobody copied anything from an extranet: the mailbox reads them and they're already on the guide's manifest. Two share a surname, 4 minutes apart: the guide sees them together — 9 people — with your deposit policy alongside.
9:15 AM
Tomorrow’s reminders, ready: you send them in one tap each. One traveller writes “we’re 5 now” in the chat — the booking updates itself and the guide sees it on the manifest.
10:58 AM
“I’m lost, I can’t find the group.” GuIA checks their code, sends the map with the location the guide shared at the last stop, and leaves a note on the tour. Nobody had to phone anybody.
2:15 PM
End of the free tour: the guide records the tip. However it was taken — cash, their own card reader, whatever — it goes into the manifest at close, and Audutor never touches that money: it only splits it and squares it. Two no-shows land on the board: tomorrow those reminders are ready earlier.
11:00 PM
The day settles itself. Tips and ticket sales, channel fees, the guide’s share and the company’s — tour by tour, ready for your accountant. Plus tomorrow’s brief: “2 things to check”.

You pay for what you run, not for your team

No booking commission, no lock-in, support included.
Pro runs your day. Premium also helps you sell.

It sets itself up from what you have already published — nothing to migrate
  • Paste your website address or your public listing and Audutor reads it: it proposes your times, your meeting point and your rules with the sentence it took them from. You accept what is right, and whatever your site does not say, it asks you one thing at a time.
  • You don't change where you sell. Your bookings keep arriving through the same channels; Audutor picks them up from your inbox and puts them on one day sheet.
  • Two taps to add it to the home screen — no store, no download. It opens on your guide's phone like an app, works with no signal and updates itself.

In English and in Spanish: your listing, your website and what the assistant answers all come out in the language you work in.

A €0 booking costs you €0. That is not the norm.

On a free tour the question isn't what the system costs: it's what it charges you for each booking that charged you nothing.

Talk to us about Premium

The cost per traveller is there to compare against what you pay for software, not against a platform commission: the platform brings you the customer and we do not.

Prices exclude VAT. With a Spanish NIF we invoice at 21 %; elsewhere in the EU with a VAT number, under the reverse charge.

Tips, reconciled to the penny

Take them however you like — cash or your own reader — and they land here recorded, split between your guides and squared, tour by tour.

0%Audutor never touches the tip
You pay for the plan and nothing else: no booking fee, no tip fee.

Every booking system has an assistant now.
Ask them what it does when it doesn’t know.

An assistant plugged into a booking engine knows your products, your prices and your availability. Everything else it makes up — and everything else is most of what a customer asks.

01 · Confirmed by you

It only says what you confirmed

You write the facts of your tours once. What you haven't told it reaches you, with the question noted down so you answer it once and it never comes back.

this lowers our “resolved by AI” number — and we’ll take that trade
02 · The street

It knows the street, not just the catalogue

It can see who has checked in and where the guide is right now. So when someone writes «I'm lost», it sends them the live map — never the guide's number.

a booking engine cannot answer this: it hasn’t got the data
03 · Their language

Spanish and English, with a clear handoff for other languages

It answers in Spanish and English. When it detects another language, it notifies the traveller in that language and passes the labelled question to a person. Missing confirmed facts are handed over too.

each fact is translated once and cached, so it costs nothing to repeat

In the demo you can watch it hand something over: ask GuIA for a discount and see where the question lands. Try it →

The platforms don't tell you everything.
Someone has to go in and look.

Each platform keeps its own books and only emails you when it feels like it. The rest of the time your list and theirs are two different numbers — and the first to find out is the guide, at the meeting point.

In preparation: the order queue, its verification and the panel are built; the program that signs into the dashboards is not available yet.

01 · Counts

It will compare booking counts

The planned feature will check how many people each platform has booked and flag differences against your manifest for you to review.

planned: compare the manifest with the platform
02 · Closes

It will close departures that are full

When a tour fills up you have to close it on every panel, and if you're slow people book seats that aren't there. The agent will do it for you — but here it will still show as not closed until you check.

the ✓ is always placed by a person
03 · Mutes

Discrepancies limit what GuIA says

When the system records a discrepancy, GuIA stops saying how many places are left until someone reviews it. This protection already exists; detecting discrepancies through the agent depends on the program still in preparation.

it can only make GuIA say less, never more

It is designed to run on your computer, with your session. The planned program uses the session you already have open on each platform. It is not available to purchase and is excluded from your bill while it remains in preparation. See it in the demo →
